1. Policy Overview
We understand that plans can change. This policy outlines our cancellation and refund procedures to ensure transparency and fairness for all our guests. Please read this policy carefully before making your booking.
All cancellations must be made in writing via email or through our customer service team. Cancellation requests are processed based on the date and time we receive your written notice.
2. Guest Cancellations
More than 7 days before check-in:
Full refund of advance payment (100%)
3-7 days before check-in:
50% refund of advance payment
Less than 3 days before check-in:
No refund available
No-show:
No refund available
Important Notes:
- Cancellation timeline is calculated from your scheduled check-in date
- Refunds apply only to the advance payment; any additional charges are non-refundable
- Processing fees (if any) are non-refundable
- Refunds are processed to the original payment method
3. Cancellations by The Secret Waterfall Retreat
In the unlikely event that we need to cancel your booking, you will receive:
- Full refund of all payments made, or
- Option to reschedule to a future date (subject to availability)
- Compensation for any reasonable additional costs incurred (case-by-case basis)
Reasons for our cancellation may include:
- Natural disasters or extreme weather conditions
- Government restrictions or regulations
- Unforeseen circumstances beyond our control (force majeure)
- Safety concerns for guests or staff
- Infrastructure or facility issues
4. Booking Modifications
Date Changes:
- More than 7 days before check-in: Free modification (subject to availability)
- 3-7 days before check-in: ₹500 modification fee
- Less than 3 days before check-in: Not permitted
Tent Type Changes:
- Upgrade: Pay the difference in price
- Downgrade: Refund difference (subject to cancellation policy timeline)
Guest Count Changes:
- Reducing guests: Refund applicable charges (subject to cancellation policy)
- Adding guests: Additional charges apply (subject to tent capacity)
5. Add-on Services Cancellation
Yoga Sessions:
- More than 24 hours before session: Full refund
- Less than 24 hours: 50% refund
- No-show: No refund
Private Bonfire:
- More than 24 hours before setup: Full refund
- Less than 24 hours: No refund (due to preparation requirements)
- Weather cancellation by us: Full refund
Other Services:
Cancellation terms for additional services will be communicated at the time of booking.
6. Refund Process
Processing Timeline:
- Refund approval: Within 2-3 business days of cancellation request
- Credit card refunds: 5-7 business days after approval
- Bank transfer refunds: 3-5 business days after approval
- UPI/Digital wallet refunds: 1-3 business days after approval
Refund Method:
- Refunds are processed to the original payment method
- If original method is unavailable, bank transfer will be arranged
- Additional verification may be required for security purposes
Required Information for Refund:
- Booking confirmation number
- Registered email address
- Reason for cancellation
- Bank details (if bank transfer is required)
7. Special Circumstances
Medical Emergencies:
In case of medical emergencies preventing travel, we may offer more flexible cancellation terms upon providing appropriate medical documentation.
Weather Conditions:
- Extreme weather warnings: We may offer rescheduling options
- Light rain or normal weather variations: Standard policy applies
- Safety-related weather cancellations by us: Full refund
Travel Restrictions:
Government-imposed travel restrictions may qualify for special consideration on a case-by-case basis.
Group Bookings:
Special cancellation terms may apply for group bookings and will be communicated separately.
